We propose to organize a dedicated childcare service during Devconnect to make the event more inclusive and family-friendly. This initiative will enable parents—especially women—to attend and actively participate without the constant worry of childcare during the day.
By doing this, Devconnect can set a benchmark for inclusion within the Web3 ecosystem, actively reducing barriers that disproportionately affect caregivers.

This model ensures maximum safety without breaking decentralization principles: professional staff handle childcare, volunteers assist in peripheral operations, and parents are fully integrated into communication loops.

4. Safety Measures
Safety is the most critical concern for parents and organizers alike. This section outlines the protocols, infrastructure, and staffing measures that guarantee a safe, professional, and trustworthy childcare space.

Strictly Controlled Access: Children will only enter and exit through a single, fully monitored entrance. A dedicated staff member will register every child and accompanying adult, recording all contact details. Wristbands with unique security codes will be issued to both child and guardian, verified at pick-up without exception.

Permanent Security Presence: The entrance will be constantly guarded by 2 official, trained security officers, in addition to staff and volunteers strictly managing access. No unauthorized personnel will be allowed anywhere near the childcare area.

Age-Group Supervision: Children will be grouped by age to ensure maximum supervision and age-appropriate engagement, minimizing any risks.

Bathroom Safety Protocol: Only one highly-trained staff member will accompany children to the bathroom at a time, ensuring complete safety and accountability.

Controlled Environment: Every corner of the childcare area will be monitored, access logs maintained, and security measures reinforced during setup, operation, and teardown to prevent any lapses.

Professional Agency: MEC will partner with a certified childcare agency for supervision and care.
For childcare services, agency CANGUROS -Nosotros - Canguros-, and for teaching and technology-related activities, TECNOKIDS -TecnoKids-. -
Staffing & Ratios: To ensure maximum safety and supervision, the childcare service will follow recommended child-to-adult ratios based on age:

Maximum simultaneous capacity: 30 children.

Total adults required: at least 4 certified childcare professionals.

Volunteers: Additional Devconnect volunteers may assist with logistics and support under the supervision of professional staff.

Ratios are flexible within safe, professional standards, and will be adjusted in coordination with the childcare team as needed.

Parental Agreement & Acceptance of Risk
A “Terms and Conditions” document will be required to be signed and accepted by the child’s responsible adult. This document will include, among other points, an “Acceptance of Inherent Risk” clause. This means that parents acknowledge that, even though all reasonable safety measures will be taken, there are inevitable risks associated with childcare (such as falls, minor injuries, illnesses, conflicts between children, etc.) and accept that not all risks can be completely prevented or eliminated. This principle is standard practice in childcare policies and children’s activity programs
5. Protocols

Immediate Emergency Response: In the event of any accident, sudden illness, or unforeseen situation, staff will provide instant first aid, remain calm and in control, contact parents without delay, and coordinate directly with event security and medical teams. No incident is too small to be taken seriously.

Fire / Evacuation: Staff lead children to designated safe areas, roll call performed via wristband codes.

Conflict Resolution: Should a disagreement or conflict arise between children, they will be immediately and safely separated. Trained staff will apply strict, established conflict-management protocols. If a child cannot regain composure quickly, parents will be contacted immediately, and staff will continue to provide dedicated, one-on-one support until the situation is fully resolved.

Meticulous Record-Keeping: Every incident, however minor, will be detailed in logs including date, time, parties involved, and all actions taken. No detail will be overlooked to ensure accountability and continuous improvement.

Bathroom Protocol: Only one designated staff member accompanies children at a time to bathrooms, guaranteeing absolute consistency, supervision, and safety.

Strict Media Policy: The taking of photos or videos within the childcare area is strictly prohibited under all circumstances, without exception.

*Mandatory Compliance: Every member of the childcare staff, as well as all guardians, must fully comply with these protocols. Non-compliance will not be tolerated and may result in immediate removal from the area.
6. Venue & Facilities
The childcare service will take place in the ground floor offices of Pavilion 8, located right next to the Pista Central (co-working space, heart of the venue). This location offers several advantages in terms of safety, accessibility, and functionality:

Ground Floor Location: As the space is located entirely on the ground floor, there are no risks related to stairs or elevated areas, making it safer and easier for children and staff to move around.

Controlled Access: Offices have two entrances; one will remain completely blocked to ensure that all check-ins and check-outs of children and parents take place through a single monitored entry point.

Community Activity Area: A central shared space will host group activities, with designated areas for storing children’s shoes, jackets, and personal belongings.

Child-Safe Flooring & Walls: The entire floor and walls will be covered with eva foam mats to minimize the risk of injuries from slips, trips, or falls during playtime.

Dedicated Rooms: The pavilion includes four offices that will be repurposed into specialized spaces for:

A quiet nap/rest room.

Onsite Bathrooms: The pavilion has bathrooms directly inside the childcare area. This allows a single designated staff member to accompany children safely without leaving the secured childcare premises—minimizing risks of children wandering through the venue.

7. Requirements & Proposed Activities
Dedicated Space:
The childcare area will be specifically designed for safety, comfort, and developmental engagement. It will include clearly defined zones for play, learning, quiet time, and group activities. All flooring, furniture, and materials will meet child-safety standards and be age-appropriate.

Parents are required to pre-register and reserve slots to ensure optimal staff-to-child ratios. This system ensures each child receives adequate supervision and attention, while also maintaining compliance with safety protocols.

All protocols, operational workflows, staffing ratios, and emergency procedures will be formally documented. This includes checklists for onboarding staff, volunteer roles, parent registration, and security measures. These documents will serve as templates for future events, enabling efficient replication without compromising safety or quality.
Decentralized Participation
MEC will maintain a hybrid model combining professional oversight with community volunteer engagement, allowing future events to gradually explore decentralized models. This includes potential partnerships with local daycare networks, community DAOs, or certified childcare agencies in host cities, providing flexibility while retaining the highest safety standards.
Feedback Loops & Continuous Improvement
After each event, structured feedback will be collected from parents, staff, and volunteers.
